Patient intake and office-system connections
Less retyping and fewer disconnected steps for your staff. We help your practice collect the right information at the right time, review it clearly and move it into supported office systems.
Clear plan. Agreed price. A free first conversation, with no obligation to proceed.
Talk about your practice
Separate the first inquiry from clinical intake
A person asking about an appointment should not have to complete a medical history just to contact your practice. We distinguish a short first-contact request from the later intake your staff asks the patient to complete. Your practice confirms appointments and determines the appropriate next step.
We map the current workflow with your front-desk team: what is collected, who reviews it, which details need checking and where information should go. That gives the implementation a practical purpose instead of simply replacing paper with another disconnected form.
Connect the systems your office already uses
Our PPWG work includes a workflow connected to DrChrono. For your practice, we check the capabilities and permissions of the existing appointment, patient-record and billing systems before agreeing to an integration. We do not assume every system supports the same connection.
The plan can include staff review, missing-information checks, duplicate-record safeguards and clear error handling. We test the agreed workflow with your team before launch, and document what staff should do when a connection is unavailable.
- Patient-friendly forms with clear labels and validation
- Staff review before information enters the agreed workflow
- Supported office-system integrations and failure handling
- Access permissions, retention and hosting decisions
- Staff handover and ongoing maintenance when agreed
Privacy and accessibility are implementation requirements
We define who can access patient information, where it is stored and which business associate agreements are required. HIPAA responsibilities must be agreed with the practice; a form or website alone does not establish compliance. Public marketing analytics must remain separate from patient information.
Accessible forms need keyboard support, meaningful labels, readable contrast and specific error messages. We use WCAG 2.2 AA as a technical target alongside manual and automated testing. Accessibility requires continued attention, not a one-time guarantee.
Where payments, deposits or no-show fees are included, the practice must have clear policies and appropriate patient authorization. Medical information stays out of payment descriptions and notes. Payment-system feasibility and fees are confirmed separately.
Questions from practice teams
Will this remove all manual review?
No. The objective is to reduce repeated work while preserving staff oversight. Your team remains responsible for reviewing information and clinical decisions.
What should we send for an initial discussion?
Your website, the names of the office systems you use and a description of the steps that take staff time. Do not send patient records through our business inquiry form.
Start with what your practice needs.
We review your goals and current setup, agree priorities and propose the work and price before you commit. Please keep patient information out of business inquiries.
